Operates switchboard/Cisco telephone system to relay incoming, outgoing and interoffice calls by performing the following duties:
Uses Cisco telephone system/switchboard to connect interoffice and incoming calls
Answers, screens and routes outside calls to three buildings
Transfers calls to a voice mail system as needed
Supplies information to callers and records voice mail messages
Operates paging system to relay in-house announcements or individual incoming calls
Greets visitors and obtains name, company represented and nature of business
Ensures that visitors sign in at the lobby and issues badges as needed
Performs clerical duties such as data entry and sorting incoming/outgoing mail
Learns and understands company products so incoming telephone calls can be transferred to the right departments
Handles special mailings to customers, which include stuffing envelopes with literature and placing address labels on the envelopes
Files all documents daily, such as original sales orders and picking tickets
Pulls documents needed by the Auditors and Inside Sales or Accounts Receivable Departments
Performs other duties as assigned
High School Diploma or General Education Diploma (GED); at least 1 to 2 years of related experience and/or training is required. An AA degree is a plus. Must have a working knowledge in Excel, good analytical skills, and be an independent thinker. Experience in SAP is a plus.
Must be able to read a limited number of two and three syllable words and to recognize the similarities and differences between words and a series of numbers as they relate to not only the English language but also the numeric system; must be able to print and speak simple sentences.
Must have the ability to add and subtract numbers in the thousands, and also be familiar with percentage. Must also be familiar with multiplication and division of numbers in the tens, hundreds, and thousands of dollars; must be familiar with operating a calculator.
Must be able to apply common sense to carrying out all tasks related to the daily Accounts Payable function; must also be able to have productive conversations with vendors over the telephone.
